Privacy Notice
This notice is provided under Article 10 of the Turkish Personal Data Protection Law No. 6698 (“KVKK”) and the Communiqué on the Procedures and Principles for Fulfilling the Obligation to Inform. It explains how we process the personal data of people who visit dokuzbir.com.tr, use our contact form, subscribe to our newsletter or contact us by email. The Turkish version of this notice prevails in case of any discrepancy.
1. Data controller

2. Personal data we process
Contact form: Your name, email address, phone number, company name, the services you are interested in, budget and timeline preferences, your message, any website address you share and any file you choose to upload.
Security and activity records: An irreversibly masked (hashed) form of your IP address, browser and device information, the referring page and how you reached our site (e.g. search engine, social media, campaign link), kept to prevent abuse of the form and the site.
Newsletter: Your email address, language preference, sign-up source and consent record (date of consent, consent wording, notice version, date of unsubscribing).
Visit statistics: Page viewed, referring site, device type and language. These statistics are kept without cookies and without storing IP addresses, using an identifier that changes every day and cannot be reversed; they cannot identify you.
Correspondence: The content of your emails and your contact details when you write to us.
Our site does not ask for special categories of personal data (health, biometric data, etc.); please do not share such data through the form or uploaded files.
3. Purposes and legal bases
- To evaluate your request, get back to you, prepare a proposal and run the contract process: Article 5/2-c KVKK (necessary for entering into or performing a contract).
- To keep the form and the site secure, prevent spam and abuse, and keep anonymous statistics to improve the site: Article 5/2-f KVKK (our legitimate interest, provided it does not harm your fundamental rights and freedoms).
- To comply with our legal obligations and requests from competent authorities: Article 5/2-ç KVKK.
- To establish, exercise or defend a right (e.g. evidence in a possible dispute): Article 5/2-e KVKK.
- To send the newsletter: The consent you give when subscribing, obtained as consent to commercial electronic messages under Law No. 6563 on the Regulation of Electronic Commerce and the related Regulation. You can withdraw it at any time using the link in every email.
- Measurement with Google Analytics (only if enabled): Your explicit consent given in the cookie preferences window (Article 5/1 KVKK). Without your consent, no analytics cookies are used.
4. How we collect data
Your personal data is collected electronically through the contact and newsletter forms on our site, email correspondence, and automatically while the site is running.
5. Transfers
Limited to the purposes above and only as necessary, your data may be shared with the following recipients:
- Hosting: The site and its database are kept on servers located in Türkiye.
- Email delivery: Notification, auto-reply and newsletter emails are sent via the email service of Amazon Web Services EMEA SARL (Amazon SES, European Union region). This transfer is carried out under Article 9 KVKK by signing standard contractual clauses and notifying the Personal Data Protection Authority.
- Measurement and security services (only if enabled): Google Analytics (Google Ireland Ltd.) and Google reCAPTCHA or Cloudflare Turnstile for form security. When enabled, the relevant data may be transferred abroad with the safeguards required by Article 9 KVKK.
- Business partners and advisers: Where your request requires it and a contract is concluded, persons bound by confidentiality such as our accountant or legal counsel.
- Competent public authorities: When required by law and upon request.
We never sell or rent your data to third parties for marketing.
6. Retention
- Contact form entries and correspondence: at most 24 months after your request is concluded; if a contract is concluded, for the periods required by the applicable legislation.
- Form entries marked as spam: 30 days.
- Visit statistics: at most 13 months.
- Newsletter: for as long as you remain subscribed; after you unsubscribe, consent and opt-out records are kept for 3 years as required by law and then deleted. Unconfirmed sign-ups are deleted within 30 days.
- Backups: at most 14 days.
Data whose retention period has expired is deleted or anonymised automatically.
7. Cookies and similar technologies
Our site does not place cookies on visitors’ devices. Your language choice is stored only in your browser’s local storage and is not sent to us. If Google Analytics is enabled, analytics cookies are used only if you select “Accept” in the cookie window; you can change your choice at any time via the “Cookie preferences” link at the bottom of the page. Embedded third-party content on our site (e.g. video players) loads only when you play it and is subject to that platform’s own privacy policy.
8. Your rights under Article 11 KVKK
You have the right to:
- learn whether your personal data is processed,
- request information if it has been processed,
- learn the purpose of processing and whether it is used accordingly,
- know the third parties in Türkiye or abroad to whom it is transferred,
- request correction if it is incomplete or inaccurate,
- request deletion or destruction under the conditions of Article 7 KVKK,
- request that corrections, deletions or destructions be notified to third parties to whom the data was transferred,
- object to a result against you arising exclusively from automated analysis,
- claim compensation if you suffer damage due to unlawful processing.
9. How to apply
Under the Communiqué on the Procedures and Principles of Application to the Data Controller, you can send your request in Turkish, with information identifying you (full name, Turkish ID number or, for foreign nationals, nationality and passport number, address or email for notifications, and the subject of your request):
- by a signed letter delivered in person or through a notary to Yavuz Sinan Mah. Atatürk Bulv. No:68 Kn:6501, Istanbul / Türkiye,
- signed with a secure electronic or mobile signature, or from an email address you have previously given us and that is registered in our system, to hello@dokuzbir.com.tr.
Your request will be concluded free of charge within 30 days at the latest, depending on its nature; if the process involves an additional cost, the fee set by the Personal Data Protection Board may be charged. If your request is rejected, you find the answer insufficient or no answer is given in time, you may file a complaint with the Personal Data Protection Board.
10. Updates
This notice may be updated in line with changes in the law or in our processing activities. The current version is always published on this page; the version shown below indicates the latest update.
